These Terms and Conditions will apply between you and Cool Flo Clothing Co. Limited, when you purchase an item from www.coolflo.co.uk. Please read them carefully as your use of this website is conditional upon your acceptance of these T&Cs. From time to time we may amend our Terms and Conditions – it is therefore your responsibility to check for any changes upon use of the Cool Flo Clothing Co. Ltd site.
Your contract for purchases made through www.coolflo.co.uk is with Cool Flo Clothing Co. Limited and you undertake that all goods ordered by you are for your own private and domestic use only and are not for resale.
You must be eighteen years old or above to use this site. If you are under eighteen, you may only use the site in conjunction with, and under the supervision of, a parent or guardian. If you do not qualify, please do not use the site.
You warrant that all details you provide to www.coolflo.co.uk for the purpose of ordering or purchasing goods are true, accurate, current and complete in all respects; and that the credit or debit card you are using is your own and that there are sufficient funds in your account to cover payment of the product(s) ordered. It is a crime to use a false name or a known invalid credit card to order. Anyone caught wilfully entering an incorrect or fictitious order will have their details passed onto the Action Fraud or the police.

WHAT DO WE DO WITH YOUR INFORMATION?
When you purchase something from our store, as part of the buying and selling process, we collect the personal information you give us such as your name, address and email address.

Our store is hosted on Shopify Inc. They provide us with the online e-commerce platform that allows us to sell our products and services to you.
Your data is stored through Shopify’s data storage, databases and the general Shopify application. They store your data on a secure server behind a firewall.
If you choose a direct payment gateway to complete your purchase, then Shopify stores your credit card data. It is encrypted through the Payment Card Industry Data Security Standard (PCI-DSS). Your purchase transaction data is stored only as long as is necessary to complete your purchase transaction. After that is complete, your purchase transaction information is deleted.
All direct payment gateways adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover.

Whilst every care is taken to ensure that product descriptions and specifications are correct, there could be slight variation in colour representation on the website due to computer hardware/software at the user end.

We will endeavour to ensure that all items listed on our website are in stock, but we cannot guarantee this at all times. The publication of the products on this site does not constitute an offer for sale. Orders are usually processed and products despatched within 5 working days from receipt (excluding bespoke Custom Edition orders, which can take up to 10 working days from date of receipt to despatch). In the current pandemic climate, things may take a little longer, but we will endeavour to keep you informed of any delays.
Most goods will be sent via a Second Class service (UK for orders up to 2kg). EU orders up to 200g and Rest of World (ROW) orders up to 100g will be sent via a Standard Airmail service. All EU parcels over 200g and all ROW orders over 100g will be sent on a Tracked and Signed service. Should you wish for your goods to be sent via a different method, please contact us directly with your order on email@example.com and we can work out costs on an individual basis for you.
Our postage charges are based on the weight of orders and will be automatically calculated at the point you enter your address on the Cart page. Postage is calculated per 100g (including picking and packaging costs) up to a total of 2kg and broken down into the following regions:
- EUROPE (EU)
- REST OF WORLD (ROW)
Occasionally we have to despatch items separately, as we have two fulfilment locations. If you order more than one product from us, you may receive two parcels and separate shipment confirmations. Multiple item orders from separate despatch locations, will have higher shipment costs in order to cover the additional postage charges.
We may use different carriers for tracked orders over 2kg.
Orders weighing over 2kg and up to 4kg are charged in additional 250g increments, and those between 4kg to 6kg are calculated in 500g increments to overseas addresses.
All postage costs will be revised annually in line with UK Royal Mail prices.
Our goods should usually arrive within 2-3 working days (from the date of despatch when the goods leave our warehouse). However, please allow a little longer for deliveries to the Scottish Highlands and Islands, offshore locations and Northern Ireland. If you have not received your goods within 10 working days, please send us an email firstname.lastname@example.org. Please note that all orders are subject to delay during the Covid-19 pandemic.
European Orders and Rest of World Orders
For any delivery outside of the UK, you will need to allow longer (approx. 5-14 working days from despatch) before you receive your goods. Occasionally Customs hold items for additional checks, which can delay things further. Delivery to Rest of World and EU countries may result in import duties payable on receipt of the goods. You will be liable for these duties.
Due to EU VAT rule changes as of 1st July 2021, orders of 150€ and under will be processed via the IOSS system and local tax will be charged at checkout. On orders over 150€ local VAT and duties will be charged in the EU also.
Please note that all orders are subject to delay during the Covid-19 pandemic and also due to new Brexit rules for EU countries.
All payments on our website are currently made via the PayPal system. You do not have to have a PayPal account in order to make a purchase from our site (follow the instructions on the PayPal Payment Page for Credit/Debit cards). Payments will appear on your Credit Card/Bank Statement as “PAYPAL COOL FLO” which is the Merchant Name for Cool Flo Clothing Co. Ltd.
Cancellation and Returns
We hope that you are entirely satisfied with your purchase; however, should you wish to return an item we will be happy to exchange or refund it within 30 days of receipt.
If your item was mailed from our Cobham depot, please use the form below.
If your item was posted from our London (N18) depot, please use the form and sticker that was enclosed with your parcel.
The item must be returned to us in its original condition with all of the packaging, labels and tags intact. We will only refund postage costs if the item is faulty or we have sent the wrong item. Always get a Proof of Posting Certificate from the Post Office, as we cannot be held responsible for goods lost in transit.
